Executive Assistant to the President

Reporting directly to the president, the executive assistant provides executive support in a one-on-one working relationship. The executive assistant organizes and coordinates executive outreach and relations efforts and oversees special projects. The executive assistant must be creative and enjoy working in an entrepreneurial environment. The ideal individual will have the ability to exercise good judgment in a variety of situations and will have strong written and oral communication, administrative, and organizational skills and the ability to maintain a realistic balance among multiple priorities.

Responsibilities:

  • Manage sensitive matters with a high level of confidentiality and discretion, especially decisions directly impacting the operations of the organization.
  • Arrange travel and accommodations for president and direct reports. Prepare expense reports.
  • Respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
  • Draft and prepare correspondence for internal announcements, meetings, and organizations that the executive is involved with.
  • Assist in preparing and managing presentations and decks.
  • Welcome guests by greeting them, in person or on the phone, and answering or directing inquiries.
  • Represent the company and the president in a positive light through great follow-through skills and sound judgment.
  • Be responsive to emails/texts/phone calls, with contact outside normal business hours.
  • Conserve the president’s time by reading, researching, collecting, and analyzing information as needed, in advance.
  • Organize complex calendars and schedules, resolving any scheduling issues.
  • Contribute to the development of processes and workflows for the development team and the organization.
  • Facilitate communication to and from president by researching issues and staying informed of operational, company, and other relevant issues.

Requirements:

  • Bachelor’s degree or equivalent work experience
  • Direct experience including work of a highly responsible and confidential nature for a member of management or any combination of education and experience providing the types and levels of knowledge, skills, and abilities required by the job
  • Experience utilizing Microsoft Office and intermediate to advanced functions of Microsoft Word, Excel, and PowerPoint
  • Excellent communicator; able to interact with people of all levels in a confident, professional manner
  • Service focus; dedicated to meeting the expectations of the president by maintaining effective relationships with interested parties
  • Ability to present information one-on-one and in small groups to donors, board members, and other employees of the organization as well as contacts from outside the company
  • Ability to handle multiple high-priority projects with little oversight
  • Experience with Zoom, Salesforce, HubSpot preferred
