Partner Services Administrator

Reporting to the director of partner services, the partner services administrator will be a key player in coordinating government contract deliverables that support groundbreaking campaigns and events. This role is part of a passionate team dedicated to amplifying the reach and influence of All Pro Dad, iMOM, and related initiatives.

Responsibilities

As the partner services administrator, you’ll be at the forefront of bringing high-impact projects to life. You’ll assist the team in developing strong partnerships and supporting initiatives that elevate our brands and create memorable experiences.   • Manage projects: Use project management tools to drive efficiency and achieve excellence across department initiatives by documenting and tracking projects.
  • Support contract managers: Assist partner service managers as needed with contract execution and reporting.
  • Coordinate meetings and documentation: Schedule meetings, take notes (can utilize AI tools), and document assignments from the meetings.
  • Manage key inquiries: Serve as the first point of contact for incoming online inquiries, ensuring timely, helpful responses that keep us connected to our audiences.
  • Support monthly reporting: Assist with gathering data for monthly, quarterly, and annual reports.
  • Support high-impact events: Assist with event logistics, including packing, shipping, follow-up thank-you notes, pod packing and unpacking, and occasional on-site support to create unforgettable, family-centered experiences.
  • Streamline collaboration: Schedule and coordinate meetings with internal and external partners to support seamless workflows across multiple projects.
  • Optimize resource procurement: Manage purchase orders, order supplies, and handle logistics to support team operations and events.
  • Support book distribution: Assist with ordering and distributing books that inspire families nationwide.
  • Organize team travel: Coordinate and book travel arrangements to ensure smooth, stress-free logistics.

Requirements:

  • Ability to manage multiple projects simultaneously and thrive in a fast-paced environment
  • A collaborative mindset with a strong emphasis on teamwork and problem-solving
  • Proficiency in Microsoft Office and online project management tools
  • A college or associate degree preferred, but not required
  • 1-3+ years of experience, with an interest in community-building and social initiatives

Location: Hybrid—Tampa Westshore (two days in office)
